When you contact us, request a free trial, purchase a subscription, or sign up for our newsletter, you may provide:

• Service providers: with trusted third parties who help us operate our business — including SendGrid (email delivery), Cloudflare (hosting and security), and our payment processors. These providers are bound by confidentiality obligations and may only use data to perform services for OnTerra.
• Imagery providers: when you use the MapSavvy service, your WMS requests are forwarded to the underlying imagery provider (Google, Microsoft, or HERE). Limited request metadata may be shared with those providers as required to fulfill the request. This is governed by their respective privacy policies.
• Legal compliance: if required by law, court order, or to protect our rights, property, or the safety of others.
• Business transfer: in connection with a merger, acquisition, or sale of assets, customer information may be transferred as a business asset; in such cases, the receiving party will be required to honor this Privacy Policy.

5. Data Retention

We retain personal information only as long as necessary to fulfill the purposes outlined in this policy, including legal, accounting, and reporting requirements. Customer records are typically retained for the duration of your relationship with OnTerra plus seven (7) years for tax and audit purposes. WMS request logs are retained for the duration of your subscription term plus a reasonable period for billing reconciliation. Marketing contact information is retained until you opt out or request deletion.

OnTerra Systems does not sell or share personal information for cross-context behavioral advertising, so there is nothing to opt out of in that regard. 8. European Privacy Rights (GDPR)

The legal bases on which we process your personal data include: your consent, the necessity of processing to perform a contract with you, our legitimate business interests, and compliance with legal obligations.

We implement reasonable technical and organizational measures to protect personal information from loss, misuse, unauthorized access, disclosure, alteration, and destruction. These measures include encrypted connections (HTTPS/TLS), secure hosting infrastructure, access controls, and limited employee access on a need-to-know basis. No method of transmission over the internet or electronic storage is 100% secure, however, so we cannot guarantee absolute security.

Our website and services are not directed at children under 13 (or under 16 in the EU/UK), and we do not knowingly collect personal information from children. If we become aware that we have collected information from a child under the applicable age, we will take steps to delete it.
